If a truck arrives unanounced at your yard, "Unannounced deliveries" allows you to enter this shipment, that has not been previously booked into the system by your partner, into your calendar.
How to create an unannounced delivery?
You can create an unannounced appointment by dragging and dropping or by clicking in the calendar.
The following window will open:
Here, you have to fill in all mandatory fields. You also have the possibility to adjust the start and end time of the slot.
Under "Partner" you can specify all parties involved in the transport.
Next, you can specify the loading unit of the unannounced transport. If the transport consists of several loading units, you can add them by clicking on "Add loading". If the load contains "Specialities", you can mark them by ticking the respective speciality.
You can also specify the vehicle type under "Vehicle":
In the last step you can upload files (e.g. the delivery bill), if available:
When you have entered all the important information, you can create the transport by clicking on "Create unannounced delivery". The booking will then appear in the calendar as purple with the status "Appointment request sent", as it was created internally.
However, as this appointment has already taken place in reality, you can click on "Appointment accepted" in the bottom right corner.
Next, you can set the respective status points via the "Status" tab. You can also adjust the time of each status point accordingly.
When all status points have been set, you can complete the booking by clicking on "Complete delivery". The booking is now highlighted in green in the calendar and has the status "Appointment confirmed".
This means that even an appointment that was not previously announced has been correctly recorded in the system and is included in the reporting, meaning that at the end of the month, you have an idea of the number of unannounced appointments.
In addition, at the end of the month you can contact the partners concerned and ask them to please announce their delivery via TradeLink.
