Capacity Management | TradeLink Help Center

In this article, you will learn how you can better plan and manage employee capacities with the help of capacity limits.

The “Capacity limits” function allows administrators to set daily upper limits based on the number of load carriers, volume, size or weight. This helps to ensure that external time slot bookings do not exceed defined capacity limits.

Update: Calculation based on volume, weight or load meters

In addition to setting upper limits based on the number of load carriers, it is now also possible to define limits based on volume, weight or load meters. This provides more precise control over capacities and enables better customization to the personal needs of your location.

The functions at a glance:

  • Mandatory information: Administrators can specify that external delivery partners must provide mandatory information on volume, weight, load meters or the number of load carriers to ensure that all necessary information is available in advance.

  • Definable upper limits: In addition to the number of load carriers, daily limits can now be set based on volume, weight and load meters.

Please note:

If information is mandatory, users are always obliged to fill it in. Failure to provide this information will block the user from creating the booking.

For administrators: Create new capacity limit

Site administrators can use “Capacity limits” to set specific capacity limits to restrict external bookings at the location. Here is a step-by-step guide on how this works:

Here's how it works

1. Go to Location settings, Capacity limits and click on the “Create new capacity limit” button.

2. Fill in the necessary information:

  • Capacity limit name: Enter a name that describes the type of limit, e.g. “Pallets Incoming Goods”.

  • Loading unit(s) information: Select weight, volume, load meter or height.

  • Loading unit(s) to be restricted: Select at least one load unit, e.g. pallets, containers, etc.

  • Flow of goods to be restricted: Determine whether the limit should apply to incoming goods, outgoing goods or both.

  • Announcements/special requests count towards capacity: Activate this option if you want announcements or special requests to be included in the capacity calculation.

3. Set upper limits:

  • Upper limits per day: Determine the maximum number that can be processed per day. These limits can be set for one or more time periods.

  • Select time period: Set the start and end date for the capacity limit.

Adjust days of the week: You can customize the upper limits for individual days of the week.

Set mandatory fields:

  1. Go to “External booking forms” via the location settings and select whether you want to set mandatory fields for goods receipt or goods issue.

  2. Under “Loading information”, check the box “Select mandatory loading unit information” and determine, for example, the volume for specified load units.

For warehouse employees & administrators: Calendar overview and legend

The calendar view shows the days on which a capacity limit is active:

  • Day without capacity limit: No limit set.

  • Day with capacity limit: A limit is active.

  • Excluded day: No capacity available (e.g. on public holidays).

Highlights for warehouses in retail, the furniture industry and contract logistics

Furniture industry: Calculation based on volume, weight or load metres

In addition to setting upper limits based on the number of load carriers, it is now also possible to define limits based on volume, weight or load metres. This provides more precise control over capacities and enables better customisation to the personal needs of your location.

3PL: Partner-specific calculation

Restrict capacity limits to specific partners.

Retail: Determine capacities of individual load units even more precisely

If a number-dependent capacity limit has been defined for several types of load carriers, a new ‘Open conversion settings’ button appears next to the ‘Add capacity limit’ button.

Here, site administrators can now define conversion factors for the individual load units, which can be used to convert load units proportionally.
