Check-In Terminal: Manual Verification | TradeLink Help Center
Learn how to handle driver changes more effectively at the check-in terminal.
The Manual Check at the Check-In Terminal is a new feature that makes the check-in process for arriving drivers even more reliable.
The system automatically detects certain discrepancies in the load, vehicle, or slot duration during check-in and pauses the process until a manual verification has been completed.
Benefits
Introducing manual checks offers several key advantages for your yard operations:
✅ Improved accuracy
Deviations between planned and actual delivery data (e.g., different vehicle types or changed load information) are detected early. This helps prevent errors, such as incorrect goods registration.
⚡ Higher efficiency
Not every transport needs manual supervision—only those where the system identifies relevant changes. This allows staff to focus on other tasks while most check-ins continue automatically.
🔍 Greater transparency
Each triggered manual check is logged and highlighted in the system. You can later review exactly what discrepancy occurred and which actions were taken.
How It Works
Before Check-In
Beforehand, the conditions under which a manual check should take place are defined.
This configuration is done together with your Customer Success Manager.
Examples of such conditions include deviations in:
-
the delivery time window,
-
the vehicle type, or
-
load details (e.g., number or dimensions of pallets).
You can set tolerance limits — determining which changes are acceptable and when the system should intervene.
During Check-In
When a driver checks in at the terminal and enters information (or when data is automatically retrieved from the booking), the system compares the current information with the expected data.
If one of the predefined conditions is met — for example:
-
a different vehicle than planned,
-
a shifted time window, or
-
changed load or pallet details —
the check-in process is interrupted.
The driver is informed that a manual verification is required.
A message appears on the screen indicating that an employee must confirm the details before the driver can proceed.
You’ll receive a notification that a manual check is needed — both as a browser push notification and in your Messages section within the TradeLink interface.
The event is logged in the system:
A note appears in the corresponding booking, indicating that a manual check was performed.
The specific deviation (e.g., vehicle type) can be viewed directly via the note, showing all parties why the process was paused.
Configuration
You can tailor the feature precisely to your needs.
Together with your Customer Success Manager, you define which deviations are relevant for your operations.
For example:
-
Set how many minutes a driver may deviate from the scheduled time window before a check is triggered.
-
Define limits for vehicle type changes (e.g., from semi-truck to small van).
-
Specify thresholds for load information (e.g., change from Euro pallet to single-use pallet).
